Use Word Copilot to Write Pharmacy SOPs and Protocols

What This Does

Word's built-in Copilot can generate properly structured standard operating procedures (SOPs), pharmacy protocols, and compliance documents — saving you 1–2 hours of writing per document and producing consistently formatted, regulation-ready documentation.

Before You Start

  • You have Microsoft Word with Copilot enabled (requires Microsoft 365 Copilot license)
  • You know the process you need to document (even rough notes work)
  • Optional: Any regulatory references or state board requirements relevant to this SOP

Steps

1. Open a new Word document

Open Word and create a New blank document (or open an existing SOP template if your pharmacy has one).

2. Find the Copilot Draft button

Look for the Copilot button in the Home tab ribbon (right side), or look for the sparkle/star icon when you click inside the document. Click Draft with Copilot.

What you should see: A "Draft with Copilot" text box appears at the top of your blank document.

3. Describe the SOP you need

Type a detailed description of the process and what the SOP must cover:

"Write a pharmacy standard operating procedure for controlled substance receiving and reconciliation. Include: purpose, scope (who this applies to), responsibilities (pharmacist vs. technician), step-by-step procedure for receiving Schedule II narcotics, documentation requirements, DEA log reconciliation steps, and what to do if a discrepancy is found."

"Write a pharmacist SOP for HIPAA-compliant prescription transfer between pharmacy locations. Include policy statement, scope, procedures for outbound and inbound transfers, documentation requirements, and prohibited situations."

4. Generate and review

Click Generate. Word drafts the full SOP in 10–15 seconds.

What you should see: A structured document with section headers, numbered procedures, and a table of responsibilities.

5. Refine with Copilot Chat

Click the Copilot button on the right sidebar to open Copilot Chat. Ask it to refine specific sections:

  • "Add a section on emergency dispensing procedures during a computer system outage"
  • "Make the step-by-step procedure section more detailed with specific timeframes"
  • "Add a documentation checklist at the end"

Real Example

Scenario: Your state board inspector noted that your immunization documentation SOP is outdated and doesn't reflect current ACIP recommendations or new vaccine registry requirements.

What you type: "Rewrite this pharmacy immunization SOP for 2025. Include: pharmacist scope (which vaccines, which states apply), patient screening checklist, administration procedure, documentation in [your state] immunization registry, adverse reaction protocol, and storage/temperature monitoring. Format as a numbered SOP with a header for each section."

What you get: A complete 2–3 page immunization SOP with numbered sections, clear responsibilities, documentation checklists, and a regulation-compliant structure — ready to review, sign, and file.

Time saved: 1.5–2 hours of writing → 15–20 minutes of reviewing and editing

Tips

  • Include your state's regulatory context in the prompt — Word Copilot can incorporate state-specific requirements if you mention them
  • After generating, use the Copilot sidebar to "check this document for any missing required elements for pharmacy compliance" as a quick review step
  • Save the SOP to a shared SharePoint/OneDrive folder so your whole team has access — Copilot can also help update existing SOPs if you paste in the old version
